Maintenance agreements for plant documentation

Documentation does not age in one big step but in many small ones. A terminal added, a drive replaced, an address changed. Each change on its own is too small to commission and that is exactly why it is left, until the state can no longer be rescued.

How we work together

    Define the scope

    Which documents, which systems, which rhythm. What is not included is named as clearly as what is.

    Familiarisation

    Once, we work into everything fully and bring the starting state to a defined level.

    Ongoing operation

    Changes are entered at the agreed rhythm. You report, we update, without a quotation per item.

    Review

    At agreed intervals we look together at scope and effort and adjust the agreement if it no longer fits.

Request a project

A maintenance agreement solves this structurally: instead of commissioning every change separately, there is an agreed scope, dedicated contacts and a fixed rhythm. Small changes run alongside without anyone having to request a quotation.

The scope is tailored to your situation. Often it is plant documentation and revisions; equally possible is the upkeep of article master data and macro libraries, or maintaining a standard.

Because the same people look after the documents over years, the familiarisation effort disappears with every change. That is the real economic lever, not the hourly rate but the time nobody has to spend understanding the installed base again.

Conversely: we will tell you when a maintenance agreement does not make sense for your plant. For rarely changed installations, individual orders are cheaper.

What does a maintenance agreement cost?

That depends entirely on the agreed scope, number of plants, frequency of change, response time. A flat figure without knowing your installed base would be a number without a basis. So scope is settled before price.

Are we then tied in long term?

The term is negotiable. A minimum term makes sense because the one-off familiarisation otherwise does not pay, for either side.

What happens with larger rebuilds?

Those run as their own project, not under the maintenance agreement. The agreement covers continuous upkeep; a rebuild that changes the plant structure is commissioned separately. We can still accompany it – from planning beforehand through to implementation.

In what form do we have to report changes?

In whatever form already arises at your end. A photo of the red-pen markup, a note, a sketch – it has to be legible, nothing more. Incorporating it properly into the CAE project is our job.

How does the allowance work?

A fixed monthly allowance is agreed, which keeps costs predictable. Unused pages do not expire immediately but can be carried over for up to three months. If more comes up in a given month, the allowance can be extended.

What if our documents only exist on paper?

Then digitisation comes first: we transfer paper or PDF records into EPLAN and create the basis for ongoing upkeep. On request we record the actual state on site beforehand.
